ICT in school administration

The day in the school starts with not just prayer to GOD but also by knocking at the door of technology.

The teacher when enters in the school marks his/her attendance through ‘BIO METRIC ATTENDANCE SYSTEM’ – the Bio Clock. The machine marks by recognizing the finger prints. The system then generates an ‘Absentees Teacher Report’. The teacher incharge –put arrangements for the absentee - teachers using the time table management module in the administrative block.

At the Reception The receptionist uses EPABX system to communicate and to be in touch with the different wings of the school. The admission process which includes keeping the records of admission forms, generating lists of students admitted etc. is all handled by her on her computer.

The administrative work of the school is fully computerized .

Printing and Publishing Room is being used for printing and photocopying of question papers, assignments, notes for the students, the circulars to communicate with teachers and parents. It has two copier machines - 0ne is for photostat and the other is being used for printing. The fax machine is another ICT tool which is used for communicating and transferring documents from in - house campuses and elsewhere.

Our school website http://www.khms.ac.in/ is being managed and updated there only. The information related to school events is uploaded.
There is a Network administrator of our organization who manages and creates users, gives rights etc. He is an in-house employee who handles intranet. He also takes care of the publishing work done in the school. The school magazines, invitation cards, coloured brochures etc. are all developed inhouse on computer through him. He has a fully equipped cabin with a coloured laser printer, black and white laser printer, scanner, etc.

The office block of our organization situated at the back of the school . The office administrative work which includes fee management, accounting work like ledger maintaining, trial balance, generation of balance sheet, cash book, stock management, tax Management ,teacher records etc. are all handled through computers using Tally Package and EIMS (Intergrated software).

Fee management, Payroll, Staff attendance, Student registry is all maintained through EIMS software which keeps account of all the details of the students and now the information is available at the click of the mouse.

Academic evaluation of the students is the most important part of a school. The School Examination work which spans from planning of yearly schedule at the beginning of the new session, to printing of Examination Duty Charts, Seating plan are all computerized.

Innovative use of software, from desk to desk, in our school premises.

The internet connections are used by the Principal and headmistresses of all wings of our school. It is also provided to the resource room, multimedia rooms, smart classrooms, administrative block and library. Moving from one location to another is time and energy consuming, therefore to overcome this and to communicate effectively, we have downloaded a software 'LAN Toucher'. It provides us with a platform where we do intranet communication through chatting. It has added a new dimension in intra school communications. If a teacher wants to have an information about the fee record payments/dues of a child ,then she/he is not required to go to the office room, but from the internet resource room ,just by using this facility, the information may be retrieved.

At present, school Principal, headmistresses, teachers and the administrative staff all are communicating frequently and convienently through various ICT tools..

Kudos to ICT ! It's impact in our school is immense and felt by all. It has made our school life easy. The working has become, efficient and fast. The teachers are free from the hassles of preparing details of Tax management, leave management, service record management, student record management etc.
Our valued customers – Our parents have benefitted the most. The enquiries, fee submission etc. has become quick and smooth.

Robotics enter Kulachi

Robotics is a latest buzz in Kulachi...

It is introduced for school children in our school for the age group 12-17 years.
Firstly, the teachers of computer ,mathematics and electronic department were trained in a Workshop so as to equip them to train students. The workshop gave insight into Robotics and control technology. It covered various features in terms of assembling and programming of BoeBot.
Then Workshops were also organized for students during the summer vacations in which they were introduced to the basic knowledge about the parts of a BoeBot (which is a robotic car) ,its circuit formation, introduction to programming language PBASIC for programming the BoeBot.

BENEFITS:

Robotics facilitated interdisciplinary approach as students are able to integrate knowledge of Mathematics, Science and Computer Programming and its application.
Integration of this has helped the students to apply the knowledge and skills learned in mathematics and science to real life and experiments based on analysis .
It has instilled confidence in them and enhanced their creativity.

Kulachi Blogger's Club

Kulachi Blogger’s Club is a special club in our school, formed by the teachers’ who are members of CII Shiksha e portal http://www.eshikshaindia.in/ .Teachers of this club work together on devising/implementing strategies based on using web tools/open source software, learned in the workshops organized by Shiksha India. .

The objectives of setting up this club are
· Learning and sharing together.
· Discussing feedback given by students and parents.
· Devising strategies for implementing e learning in school.
· Compiling the work done by teachers using different e tools.
· Demonstrating the work done by teachers (one per week).
· Finding solutions of common problems faced in implementing e learning

Learning is not confined to four walls of the classroom. 15 teachers of our school have entered the cyber world by creating their subject related educational blogs, which the teachers/students/parents are using with flexibility of time.

On this blog the links of blogs/slide shows/online work created by our school teachers are provided. Now the students/parents as well as teachers has to remember only a single URL for reaching to all other online work done by teachers.

The impact of this work is incredible. It has added a new dimension to teaching-learning. The resources prepared by teachers are available 24X7, with anytime, anywhere flexibility. It has completely solved the problem of drudgery of repetition of a concept in the classroom. The teachers are posting links of useful websites, interesting subject facts, challenging problems, assignments, notes, interesting subject related stories, uploading videos/slide shows etc which has helped in inculcating in students a habit of self learning. It has benefited all categories of students. The students are able to visualize an abstract concept through pictures and useful video lessons. Teachers are sharing the work done by students, which has motivated students for doing better project.
Parents have appreciated this new way of learning. They are now able to keep a track of work done by a teacher in the classroom. They may download the material posted for future reference as well.
Teachers have divided the chapters for which they have to prepare resources. Thus, it has saved time and energy which may be utilized for some other creative work. The teachers are happy to see their published work, as their work is now recognized by students/parents/teachers and administrators.

Kulachi enters the cyber world

An e-learning workshop was organized at Kulachi Hansraj Model School, Ashok Vihar from 9-05-07 to 22-05-07. Mrs. Rashmi Kathuria, P.G.T. (Mathematics) of our school took the initiative to expose the students to Open Source, web tools and other e-tools which would help the students in creating better learning environment for them. Ms. Aarti ,T.G.T(Mathematics) helped the students during the workshop in learning and completing their work. It is our belief that e-learning is the need of the hour. We believe that the students should be exposed to open source and its utility at a young age for effective learning.
The main idea behind conducting e-learning workshop for the students was that we, at Kulachi Hansraj Model School want to be a role model for the whole society. We want to spread the message that learning is not confined to the four walls of the classroom, it is much more. We always try to provide the best of everything to our students. This idea of utilizing open source and web tools is also an stepping stone to give the best to the students and to extract the best out of them. During the workshop the students were exposed to various web tools and technologies which would help them in their learning process. The students have created blogs of their own on http://www.blogger.com/ based on educational themes. They learned to create slide shows on http://www.slide.com/ and uploading the same to their blogs. Not just that, they have started podcasting by creating podcast on http://www.mypodcast.com/ . The students were exposed to image morphing, pivot stick figure animation, creating scrapblogs and enhancing weblog tools. The whole journey was a joyful experience.

Using Open source software in teaching/learning

OPEN SOURCE:
Our school got exposed to Open Source in summer vacations through CII Shiksha. Open source has provided our teachers, freedom to expose and innovate to make use of these tools in their own creative manner according to the teaching requirements and needs of the students. We have explored the following tools.

Irfan View:
This tool has been used in our school to create slide shows and make lessons more interesting. Social science teachers have been using it to show rare visuals which are otherwise not found in the books.
Various slide shows have been made in geography.While teaching , as in one of the topics- Non-conventional resources of energy - different pictures of wind farm, tidal power , turbines etc. were very helpful in teaching and explaining the concepts to the students. On the part of students visuals always provide better and lasting retention.

Pivot
Pivot Stickfigure Animator is a unique software, that allows you to create stick figure animations easily and without any artistic skills. We can move the sections of the stick figure and easily create a chain of animation frames that can be previewed. We can optionally set animation size, speed and many more.

Open source mathematical software used: 4.3 Graph

GEOGEBRA: It is yet another open source tool. It is a boon for mathematics teachers and learners. Mathematics teachers are using this software to create lessons on GEOMETRY &ALGEBRA. Teachers have created instruction sheets and lesson plans on how to install this software and use it for learning. Because it is an open source, students can download it at home also and follow the instruction sheets given by teachers in the school. Feed back from the students has been tremendous especially on the topics like Circles, properties of Algebra, Graphs etc. . Students have been using this to plot Graphs and visualize the changing shapes of Parabolas within few seconds. Thus learning and doing mathematics has become a lot easier with the usage of this tool.

Free Mind:
It is another open source tool that can be used as a ready reckoner for students to recall what they had learnt. Lessons are presented in a comprehensive and integrated manner as various key points are highlighted. Lesson is divided into topics and subtopics which makes retention long-lasting and recapitulation easy. MORPHING
Morphing is the process of transforming one image into another. It creates a sequence of frames which shows the transformation from the source image to the target image.

AUDACITY: It is an open source, freely downloadable voice recording software which teachers and students are using for recording and podcasting.The students and teachers are sharing their learning experiences with the help of this new technique through podcast. Many teachers of our school are making use of this facility for recording instructions of the lessons taught in the classroom.These instructions can be utilised by students as many times as required. This has surely enhanced the learning capacity of slow learners and has added a new dimension to teaching learning in our school.

OPEN OFFICE - IMPRESS...

Different subject - teachers in our school have made presentations in Open Office-Impress. These have also been uploaded on www.slideshare.netkulachihansraj.
It is a free software therefore teachers and students can easily use it at any point of time as per their own convenience. It is equivalent and as good as any other presentation software which gives facilities of any developer software.Being a freeware,it is easily accessible to students worldwide. These files can be exported to .swf files which can be easily run as an ordinary flash file. It makes delivery of lessons easier for the teachers as it runs like a movie.

eXe: It is an open source padagogy tool fot preparing lesson plans. The teachers of our school are preparing lesson plans using this tool. The lesson prepared ,using this tool is exported in a self contained folder, which students use at home. The lesson plans open in the form of a website page.It has many benefits as students can use this folder to learn and understand what happened in the classroom ,as many times and at any point of time.

Besides this tool also has a feature of zooming and magnifying the images which can not be done in the normal class room. We can incorporate slideshows using Irfan view and can also record our lessons.Through this tool we can recreate the classroom at home for the students.

Videoconferencing for Enriching Teaching/Learning

Videoconferencing is an interactive tool that incorporates audio, video, and computing, and communication technology to allow people in different locations to electronically collaborate face-to-face, in real time, and share all types of information including data, documents, sound and picture. The computer club is responsible for organizing various Intra-School and Inter-School activities. To achieve this technologically we have procured an integrated software namely EIMS (Educational Institute Management System) for complete computerisation of Administative and Academic nature.

We have set up smart classrooms in our school where the teaching-learning is done integrating ICT tools. In a smart classroom we have set up Plasma screens, Computers, LCD projectors, Interactive whiteboards, Internet etc. .

LCD Projectors

LCD s are being used in Multimedia Labs, Conference Room, in Principal Room , and Smart Class Rooms (Main School) for the purpose of effective teaching / learning.

Smart Classrooms in primary and Nursery wings are fitted with Projection TVs/ Plasma TVs.

Plasma TVs are being used in Primary wing in smart classrooms for effective information
transfer / sharing.
Plasma TV is being used for implementing a CCTV Network with control panel in Principal Room. Network connects crucial locations in the school like Main Gate, Reception, Office, Play Ground, Canteen, Computer Department in the basement etc..
The purpose of CCTV Network is to keep continuous vigil on important locations in order to ensure secure surroundings. It also helps in maintaining discipline and better administration.

We are using radio,television,scanners,digital camera,photocopiers etc tools for the purpose of teaching and learning.....

Radio/ Tape recorder:

We in our school have radio and tape recorders in Music room, English lab, Smart class rooms, Theatre room and Auditorium.
This inculcates the habit of listening on a regular basis and enhances their listening and speaking abilities.
Tape recorders are used in English Lab to help students to learn and improve their vocabulary and pronounciations using linguaphone cassettes.

In Music and Dance room, it is used by children to practice vocal and dance lessons. The Stage performances are also planned and recorded using them so as to make them more effective.
Radio and tape recorder are also of great use in subjects like history and political sciences. Students are made to hear recorded speeches of great leaders, same is also given to the students to rehearse at home, or to depict any historical incident on stage.

Television / Audio Visual Aids:

They are installed at various places in our school, as in the Principal’s room, at the Reception, in the Maths lab, Multimedia room and in all Smart class rooms.
To keep a check and supervise the ongoing activities of the school, CCTV is installed in the Principal room with control panel.

We have set up one Audio-Visual and one Multi-media lab in our school to help students understand lessons better as visuals give a long lasting impact on their minds.
We are also using CCTV and Plasma screens to keep a check on the activities going on at different corners of the school, which ensures discipline.

Scanners/Printers

In our school, there is a provision of scanning in the Resource room which is for teacher’s access and in the office for administrative purpose and in the Printing and Publication Room .This facility is not provided to the students but to explain its functioning and purpose , Resource room can be used by the students with permission.
These are being used to scan rare pictures of which soft copies are not available, through this we are able to transfer rare information & visuals to the students.

Printers:

We in our school have different types of printers ranging form Dot Matrix to Laser.
These are being used used to print Reports, Circulars, Notices Assignments, Notes, Question papers, Examination duty charts, Employees pay slips, Fee slips, Reportcards.

Photocopiers/Printing Machine
Photocopy machines are installed in our school which are used both by the staff as well as by the students. For staff usage, it is in the Printers and Publication Room and for students we have it installed in the school canteen.
Our school has installed (MP 1600L) Photocopy machine. It is used for different purposes like photocopying circulars, notices, examination date sheets, assignments, notes etc.
We have another machine installed in the canteen from where children get their assignments photocopied for their personal use.
In our school we have installed a Printing Machine, which is used to print question papers.It is cost effective as compared to photocopiers and printers.

Fax Machines:

Fax machine in our school is in the Printing and Publication Room..
It is being extensively used in our school to send and receive information regarding competitions, examinations, exhibitions, educational and other circulars amongst schoools. It is a handy tool for the administration to give comfirmations and receive acknowledgements.

Mobile Phones/ SMS:

Mobile phones and SMS are being used by us to exchange quick information amongst students, parents, administration and to other schools.
It is also used as a handy tool to take pictures and audio recording to be given to students as a future reference.
Blue tooth device is also used to transfer such information from one person to another.
Mobile phones are being used as recorders by some of our teachers to deliver difficult theory lectures to students who need to review the same again and again. In one such incident the results shown by students on theory base of Accounting were remarkable.

Digital Camera:
Digital camera is always available with our professional photographer.

These are being used in photography class. Recently an inter school competition on digital photography was organised in our school.The students clicked photographs from surrounding nature.

They can further be used by students and teachers to store and share their memories of school picnics, excursions, and trekking trips.
They are also used in different labs to click activities being done, which are then shared and uploaded as images and videos on net.
We in our school have been using digitals for capturing an education related scenery or rare visual, which can be later shown to the students.
It is different from the pictures given in the books as it can be magnified and if in the form of video can be a 3 dimensional visual. We did the same during one of our trip to hill station where a Social science teacher captured terrace farming, step farming and tea plantations. The same were shown to the students later in the classroom who saw them with great interest.

Memory Card Reader / Data Card:

Both these devices are being used in our school by teachers for the purpose of data storage, picture loading etc.
They are portable medium with which our technology savvy teachers are able to work both in school and at home without feeling the constraints of boundaries.
